Hi Rasmus | Lumary Troubleshooting: How do I update a note/activity that's already been sent to Lumary?

⚠️ A few important notes:

  • If a Lumary appointment already has a billing item created, that appointment cannot be undone and any changes made in Hi Rasmus will not be reflected on the Lumary appointment. 
  • The following User Privileges dictate the ability to update an already completed session note. It is up to your organization to ensure that your internal processes and user privileges within Hi Rasmus meet your compliance standards for updating completed notes. 
    • Unrender Activities
    • Reopen and edit activities 
    • Preserve signatures when reopening/editing activities 
  • Any Hi Rasmus activity that is re-sent to Lumary, but fails to fully send to Lumary due to the appointment being completed on the Lumary side will reflect the status of "Completed from Lumary"

Updating Notes / Activities Already Sent to Lumary


Step 1: Undo Completion in Lumary

  1. In Lumary, locate the completed appointment.

  2. [Right-click] on the appointment and select [Undo Completion].

  3. When prompted, decide if you need to Clear all previously entered appointment actual start & end times.

  4. Click [Save].

    • Once complete, the appointment color will change from green (completed) to yellow (scheduled).


Step 2: Open the Session Note in Hi Rasmus

  1. In Hi Rasmus, navigate to the Session Note that needs updating.


Step 3: Unrender the Session

  1. Click the [three grey lines] to the right of the user’s name.

  2. Select [Unrender Activity], then click [OK].

    • The green “activity note has been sent to Lumary.” banner will change to blue, indicating it needs to be sent to Lumary.


Step 4: Reopen the Session Note

  1. Click the [three grey lines] again and select [Reopen Activity for Editing].

  2. A pop-up will appear asking whether to erase or conserve the original signature. 

    • 🚨Your options depend on user privilege settings.

    • The blue “Session notes are ready to be sent to Lumary.” banner will change to yellow, indicating the session note needs to be completed and/or signed.

      Click [OK].


Step 5: Edit the Note

  1. Click on the blue bar [complete session notes] 

  2. Depending on the session note template, you may see a banner at the top with a series of blue circles- click the circles from left to right to review and make updates to your session note.

  3. Click [Continue] after making your changes — updates will be saved automatically.

  4. Once you’ve completed all sections, you’ll see the updated session note displayed.


Step 6: Sign and Resend

  1. [Click Sign and Save] the note if a new signature is needed OR [Save Session Note] if no new signature is needed

  2. The yellow Lumary banner will change back to blue, indicating it’s ready to be resent to Lumary.

  3. Select [Send now]
