Easily monitor appointment and schedule information across clients using the appointments reporting page!

📈 Appointments Reporting: Overview

The Appointments Reporting page in Hi Rasmus allows you to view and export appointment information across clients and users.

With appointments reporting you can:

  • Filter appointments by status
  • Run a report on cancelled appointments and identify who cancelled them
  • Identify discrepancies in start times and duration times of appointments
  • Export appointment information such as service codes or place of service

💡 Select the gear icon in the top right corner of the appointments reporting page to add additional columns / fields to your report. 

💡 Select [Add Filter] to filter the appointments list by status, scheduled dates / times, actual dates / times, appointment information, client information and more.

⚠️ NOTE: Only Manager level users have access to the appointments reporting page in Hi Rasmus


📋 Understanding Appointment & Activity Statuses

The Appointments page, Scheduler, and Appointment Card now display the linked Activity's status alongside the appointment status — giving you a clearer, real-time picture of where each session stands in the documentation workflow.

Previously, an appointment could show as Completed even when notes, review, or signatures were still outstanding. With the latest update, you're able to see appointment statuses specifically as outlined below:

Status What It Means
Draft Appointment saved as a draft — not yet finalized or scheduled
Scheduled Appointment is upcoming
In Progress Session is currently active
Pending Notes Session ended; clinician has not yet submitted notes
Pending Review Notes submitted; session duration requires review
Pending Signatures Notes submitted and reviewed; awaiting required signature(s)
Completed Fully documented, reviewed, and signed — billing-ready
Cancelled Appointment was cancelled before the session occurred

💡 Use these statuses when filtering reports to pinpoint exactly where sessions are stalled in your documentation pipeline.

Cancellation Reporting

Filter: Status >> Canceled

Additional Columns: Cancellation Reason

Pending Appointments Report

Use this report to identify sessions that have ended but are not yet billing-ready — appointments where the linked activity is still awaiting notes, review, or signatures.

Filter 1: Status >> Complete

Filter 2: Activity Status >> Pending Notes or Pending Review or Pending Signatures

Filter 3: Scheduled Date/Time (choose your time frame)

Additional Columns:

  • Actual Date / Time
  • Actual End Date / Time
  • Scheduled Duration
  • Actual Duration
  • Activity Status


💡 TIP: Run this report regularly to catch documentation bottlenecks before they delay billing. You can filter by a specific Activity Status (e.g. Pending Signatures only) to route follow-up to the right person — clinician, supervisor, or signer.  

Completed Appointments Report 

Filter 1: Status >> Complete

Filter 2: Scheduled Date/Time (choose your time frame)

Filter 3: Actual Date/Time (makes sure it's the SAME time frame as scheduled date/time)

🗒️ To include appointment notes in your report, select the [Grey Gear/Wheel] settings icon and add the [Appointment Notes] column.
