About Client Authorizations in Hi Rasmus
After the Funding Sources have been set up at the organization level, you can then add the Authorized and Unauthorized services at the client level.
Currently, Hi Rasmus tracks the following:
- Funding Source Name
- Authorization Number
- Start and End Dates
- Valid Services associated with the authorization
A few notes to keep in mind:
- There is no unit tracking or unit utilization tracking.
- Concurrent billing rules cannot be currently set up in Hi Rasmus
- Coming Soon: the ability to schedule appointments against the authorized service dates.
How to Set up Authorized and Unauthorized Services
1. From the left-hand navigation menu, select, [Clients] >> Search or Select the correct client
2. Select the [Services] tab
3. Add an Authorized Service [Authorized] by selecting the [+ ADD] button in the [Authorized Services Field].
4. Select the correct Funding Source by clicking in the [Funding Source] field.
A drop-down will appear of the Funding Sources created at the organization level [Scheduling] >> [Funding Source].
5. Add the Authorization Number in the [Authorization #] field. This is the number that comes from the authorization from the funding source.
6. Add the [Start Date] and [End Date] as per the authorization.
7. Select [+ ADD VALID SERVICE] to add the correct services per the authorization.
8. Click [Save]
âšī¸ The [Status] of the Authorization is based on the authorization dates. There are 3 possible statuses:
- upcoming (
)
- active (
)
- expired (
)
NOTE: You cannot delete an Authorized Service if it has been scheduled against. You can delete an Authorized Service if it has NOT been scheduled against.
Adding Unauthorized Services
âšī¸ Any of your organization's services (located on the [Services] tab) that have the [Always Allow Unauthorized Services] box checked will be listed in the [Unauthorized Services] section for EVERY client in your organization.
- đĄ If you do not have the [Unauthorized Services] box checked on a [Service] you can still add it to a particular client's Unauthorized Services list!
If there is a service that you want to designate as an unauthorized service for a specific client, select the [+ ADD] under the [Unauthorized Services] section to add the service to the individual client.
