Scheduling: Views and Settings Overview

With Hi Rasmus scheduling you can utilize different views, color coding and settings to easily visualize client and user appointments!

The [Schedule For] Calendar view allows you to schedule for a single client or user, by selecting them from a dropdown list.

  • You can "favorite" clients the same way you do in the [Select Client] drop down as well.

  • This view defaults to showing the client or user and the clients/users that have access to them (for linked users - it defaults to non-manager level users - but manager level users can be added to the view!)

NOTE: If you are using business units, the user you are scheduling for will need to be in the same business unit as the client. Business units are added to the user and client profile page. For more information on business units, click HERE

With the [Schedule For] view you can easily select clients / users that meet necessary scheduling criteria by selecting the applicable filter settings and compare their schedules.

View Settings

Calendar View Displays

In [Schedule For] mode, you can view your calendar as a weekly view, daily view, or timeline. Select the option on the far left at the top of the calendar to switch between them.

  • In [Day] or [Week] view, the client or user you selected always appears on the far left, with the Unassigned bucket on the far right.
  • In [Timeline] view, your selected client or user appears at the top, followed by any unlinked users, then linked users, with the Unassigned bucket at the bottom.
  • In timeline view, you can zoom in or out using the plus and minus icons next to the settings gear.

When viewing calendars using the [Day] or [Week] view, the client or user you have selected will always be on the far left. The "Unassigned" bucket will always be on the far right.

When viewing calendars using the [Timeline] view, the client or user you have selected will appear at the top, any users who are not linked to the client will display next, then linked users and the unassigned bucket at the bottom. 

  • When using timeline view - you can zoom in or out of the calendar by selecting the + / - icons next to the settings gear.

Color Coding Appointments

You can color code calendar appointments by status, user, client, or service.

Calendar Settings

Select the gear icon at the top of the calendar to adjust your settings.

From here, you can:

  • Choose which days of the week display on your calendar
  • Choose the time frame displayed on the calendar
  • Display additional time zones
  • Show business hours on the calendar, which appear as red cross-hatch lines outside business hours, across all clients and users

Bookmark your saved views:

Select the bookmark icon to save your view for the client or user you're scheduling for. You can save it just for yourself or for your entire organization.

⚠️ Note: The bookmark icon at the top of the calendar won't save the "user" filters.

When you select the blue "user" filter chip, you can bookmark your user filter views separately:

[Overview] View

[Overview]: View Overview 

When you choose the "Overview" option you will need to select filters in order to display appointments.

  • You can choose specific clients or users to add to the schedule.
  • You can also filter by specific client or staff information, such as "OK with Cats" or "No Pets in Home."

A few things to keep in mind when using [Overview]:

  • Appointments for all clients and users that meet your filter criteria will display on the calendar.
  • If you apply both client and staff filter criteria and an appointment doesn't meet both, it will still display, but appear dimmed.
  • You can group appointments by client, user, or service.
  • Staff information filters refer to custom [Staff Information] fields. Users need a Premium staff profile for these fields to apply.

[Overview]: View Settings 

[Overview] includes all the same settings as [Schedule For], plus a few extras.

Calendar View Displays

In [Overview], you can also view appointments on a monthly calendar.

Grouping Appointments

When viewing appointments in week, day, or timeline view, you can group them by client, user, or service.

🆕 Opening a Client or User Profile

You can now click directly into a client or user's profile from the scheduling tool. Just click their name anywhere it appears on the calendar, and their profile will open, no need to leave the scheduling view to look them up separately.
