Find answers to common questions about setting up, customizing, and troubleshooting workflows in your programs.
Q: Can I make mastery criteria work across a certain number of staff members?
A: This specific feature isn’t available currently, but there’s a workaround that might help!
Consider increasing the number of sessions you are requiring mastery across. For example if a target's mastery criteria is 80% across 2 staff across across 5 consecutive sessions then consider increasing the number of sessions to 10 so that targets are being run across all staff working with the client.
Q: What happens if the BT does not meet the minimum number of trials?
A: If a session does not meet the minimum number of trials required, it is excluded from mastery evaluation for that session. In other words, it does not count toward or against the mastery criteria.
Example:
Mastery Criteria = 100% accuracy across 3 sessions, with a minimum of 3 trials per session
-
Session 1: 3/3 → Counts as 1st session toward mastery
-
Session 2: 2/2 → Does not meet trial minimum; excluded from mastery calculation
-
Session 3: 3/3 → Counts as 2nd session toward mastery
-
Session 4: 3/3 → Counts as 3rd session toward mastery → Target is now mastered
Q: Will my data still graph if the minimum number of trials is not met in a session?
A: Yes! Hi Rasmus graphs all data collected in a session.
Q: Can I manually change the workflow once it's in the client's program if I need to?
A: Yes, it is possible to manually change a target’s mastery criteria. However, we strongly discourage doing so, as it can interfere with the automation and data tracking set up within the system. For best results and consistency in data tracking, we recommend making adjustments at the start of a program.

Q: How do I pick what order waiting targets will pull into the program?
A: This will only work if you select the box at the very bottom of your workflow to automatically open new targets that are still in [waiting] status. The last box says "direction" - where you can specify the direction in which the targets open: first waiting target, last waiting target or you can choose to open all waiting targets.
Note: you should always input your targets in order from top to bottom no matter the direct you want your targets to open up in. Selecting the direction in the workflow helps determine if the system should move either up or down your list of targets.
💡 It is important that your first target in a program is manually opened in order for the system to automatically open up new targets
Q: How do I set up a workflow for Task Analysis programs?
A: When setting up your workflow for task analysis, at the bottom under , you will determine which direction you want the program to open new steps/targets. You need to put a check mark in this section to automatically open new targets when targets are mastered.
Max number of targets in probe and acquisition phases depend on your type of chain (1 if it's a forward or backwards, total # of steps if it's a total task)
Direction:
Open first waiting target- Forward Chaining
Open last waiting target- Backward Chaining
Open all waiting targets- Total Task
Q: How do I set up a workflow for a Frequency program?
A: Please check out this article here: setting up a workflow for frequency programs
Q: How do I set up a workflow for a duration program?
A: Please check out this article here: setting up a workflow for duration programs
Q: Do I have to use workflows?
A: No, this is not required. If you do not use a workflow, you will manually need to move a target's progress along. Targets will remain open every session until manually moved to maintenance or closed
Q: What if I have different mastery criteria for different programs?
A: Yes! Every client’s program can have a unique mastery criteria, as we understand that different goals may require different metrics to determine mastery. You can start by creating a few standard workflow templates to streamline your setup process, and then customize the mastery criteria directly within an individual client’s program. Any edits made at the program level will only apply to that specific client, giving you the flexibility to tailor mastery to the client's needs.
Q: Can I change the name of workflow phases?
A: Yes!
When you're creating a workflow template, each phase name will have a pencil icon to the right of it. Simply click that pencil to rename the phase to something that better matches the terminology your organization uses.
Customizing phase names can help ensure consistency and clarity for your team.
Q: Can I add in additional workflow phases?
A: If you'd like to add multiple [Acquisition] phases you can select [Add New Phase] and name the additional phase.
Q: Why aren't my targets in my program auto progressing?
A: Here a few things to check before reaching out to support [help@hirasmus.com]:
-
Check the Mastery Workflow Settings
-
Make sure the overall program has the correct mastery workflow applied on the data recording tab
-
Also check if an individual target has a different workflow set—this will override the program-level setting
-
-
Verify the Minimum Number of Trials
-
Data will still record and graph even if the minimum number of trials isn’t met, but the target won’t be considered for mastery
-
For example, your workflow might require 3 trials per session to count, but a target showing 100% over 2 trials won't meet the criteria—so it won't progress.
-
-
-
Check for Workflow Changes After Program Start
-
If you changed the workflow after the program was already active, it may interrupt how progression is tracked.
-
In these cases, you may need to adjust the targets or reapply the workflow for it to take effect properly.
-
-
Review Target Arrangement and Status
-
If you’re rearranging targets or reopening closed ones, make sure you’re not using maintenance criteria when you actually want to rework the target
-
Closed targets should be reactivated or duplicated if you're revisiting them, not moved back into acquisition
